We are looking for an organized and detail oriented individual to join our Payroll Department. We offer a full benefit package including group insurance, vacation, educational assistance and more. JOB SUMMARY: The main purpose of this position is to assist and coordinate the administrative functions of the HR department by processing payroll, monitoring time and attendance, administering group insurance plans, and other areas within the company.

Essential Tasks & Responsibilities:

? Payroll (Canada & US)
? Administer bi-weekly payroll for all employees.
? Schedule and administer special run payrolls as needed.
? Calculate statutory holiday pay according to provincial labour laws.
? Distribute pay stubs to head office employees; separate and mail all other pay stubs.
? Prepare manual cheques as required; update in payroll.
? Contact payroll companies for inquiries.
? Input and update all benefit premiums.
? Complete paperwork and set up accounts with government bodies as required (US state unemployment, withholding and occupational tax). Forward all related documents to the payroll company.
? Complete and submit necessary documentation to government agencies (i.e.; Record of Employment).
? Prepare annual 1099 forms for external consultants.
? Ensure proper payments of garnishments and levies.
? Research and resolve payroll discrepancies.
? Maintain payroll records.
? Develop payroll Standard Operating Procedures.
? Pull various reports and statistics for management.

? Time & Attendance (Canada & US)
? Set up new employees in the online time tracking systems.
? Update and monitor timesheets on a daily basis.
? Ensure all policies regarding vacation, sick, time off in lieu and overtime are followed. Ensure appropriate forms have been completed and approved by management in a timely manner.
? Check employees' vacation and sick accruals are accurate and updated at the time of eligibility. Answer employees' questions regarding their vacation, sick and overtime hours.
? Train supervisors/managers and new employees on how to use the Time & Attendance online system.
? Generate absenteeism reports for managers.

? Benefits Administration (Canada & US)
? Enrol employees to the group insurance upon their eligibility date.
? Process any changes to enrolment (add dependents, change status, etc.)
? Ensure group insurance premiums balance with payroll reports and invoices. Review, print and pay (if applicable) monthly invoices.
? Calculate employer health portions for US payroll.
? Assist employees with insurance claims; answer employee questions.
? Ensure timely cancellation of benefits as required and request credits. Prepare and send COBRA letters as required.
? Develop group insurance Standard Operating Procedures.

? Salary Administration
? Process and record all salary changes in payroll and spreadsheets.
? Calculate retroactive payments.
? Ensure all proper approvals are obtained and documented.
? Generate salary reports for Accounting department.

? New Hires & Terminations
? Prepare and complete new employee paperwork; ensure all forms are signed and returned in a timely manner.
? Update spreadsheets in accordance to new hires and terminations.
? Manage accurate and detailed employee files and ensure all necessary documents are filed. Archive files when necessary.
? Respond to employee inquiries regarding policies and procedures, write employment verification letters, group insurance verification letters, etc.
? Ensure pay equity is compliant and maintained.

? Any other duties that may be called upon.
? Act as back-up for HR Supervisor for orientation and new hire activities


Travel: Occasional travel to attend seminars or courses, all one day events, 3-4 times per year.


QUALIFICATIONS & REQUIREMENTS:

Competencies:
• Strong work ethic, applies judgement and discretion in his/her work
• Detail oriented, accountable with good organizational and time management skills
• Excellent communication skills; fluent English and French (oral & written) required
• Demonstrated ability to learn quickly and excellent problem solving skills
• Highly developed listening skills
• Demonstrated professionalism and positive attitude, excellent interpersonal skills
• Ability to work in a fast paced environment and under pressure
• Knowledge of Microsoft Office (Word, Outlook, Excel, and PowerPoint) required. Experience with ADP, Payworks and/or Evolution payroll software an asset

Education or Formal Training:
• Bachelor's degree in Human Resource Management or Accounting
• Certified Payroll Compliance Practitioner (PCP) is considered an asset
• Knowledge of US and Canadian labour/tax laws is considered an asset

Experience:
• Minimum one (1) to two (2) years' experience in payroll
